How to prepare your data before implementing an ERP

Operations and data

An implementation can have its screens ready and still be held up by data. One customer appears under several names, two products share a code, or teams interpret the same status differently. Moving those differences into a new system also moves the problems they cause.

Before importing, prepare a manageable dataset, review its rules and test a complete workflow. You do not need to organize every company file at once, but you do need to identify the data required for the first stage of work.

Identify the source of each dataset

List customers, suppliers, products, price lists and stock records. For each dataset, record where the current version lives and who can confirm its accuracy. If several spreadsheets exist, agree on the source before combining them.

Also decide which information should remain in a historical archive and which records will stay active. Importing everything without considering its purpose makes daily information harder to find.

Review identifiers and relationships

A record's name may change; its identifier should let the team recognize it unambiguously. Keep a mapping between old and new identifiers so that an import can be traced and differences corrected.

  • Separate duplicates from similar records that represent different people or products.
  • Standardize date formats, units and required fields.
  • Check that transactions refer to customers and products that exist.
  • Document how empty fields, inactive records and repeated identifiers will be handled.

Test a sample with the team

Use a representative sample: a customer with multiple addresses, a product with variants and a transaction with adjustments. Walk through the team's tasks, from finding a record to checking a transaction's result.

Compare the relevant totals with the agreed source and record differences. An import without technical errors does not, by itself, prove that the information was interpreted correctly.

Agree on the transition

Before daily operations move over, decide when the final copy will be taken, how subsequent changes will be incorporated and who accepts the result. Keep the source copy and the mapping used.

Preparation is complete when the team can recognize its data, explain resolved differences and carry out the planned tasks. That gives everyone concrete evidence for reviewing the migration.
